RENTAL AGREEMENT AND CANCELLATION POLICY

COCO CABANA RENTAL AGREEMENT and CANCELLATION INFORMATION

To secure home for rental send 1/2 of the rent amount prior to tax and fees. You may pay with check or by pay pal. If paying by pay pal add 2.9% processing fee.  Remainder of rent due , plus taxes and fees is to be paid no later than 40 days prior to arrival. Once payment arrives we will email you a confirmation of payment. This is your proof of payment. Please call or email me if you have not received your confirmation within 10 days after mailing your check.

Check-In time is 4 p.m. or after.(If tenant has not checked in by 10 a.m. of the following day after official check-in day without prior notice, home may be re-rented and loss of all rental and tax money sent will result).

Check-out time is 10 a.m. or earlier.
ANYONE STAYING PAST 10 A.M. ON CHECK-OUT DAY WILL BE CHARGED FOR THE EXTRA DAY!! Strictly enforced during Spring and Summer seasons.
ABSOLUTELY NO check-ins before 4 p.m.!

Homes may NOT be used for weddings, wedding receptions, bachelorette/bachelor parties or any gatherings associated with wedding festivities.
There is a $90 charge for keys not left in the home at departure and a $30. fee for all lockouts.

We DO NOT rent to college groups. Minimum age to rent our property is 25 years old.

All prices strictly reflect ( 14 ) persons or less. Any more people will cost as website states. It will be considered a breach of contract if extra or unpaid for guests are found on the property. Immediate eviction can be expected of total group and all money sent will be forfeited .

Prices listed on site are for up to 14 guests, guest counts over 14 incur an increased per person price. Pricing for children : 3 yrs and younger is free. Children ages 4-12 is $50 per child,  12 years and older $100 extra charge.

MAKE ALL CHECKS PAYABLE TO: SHAWN OR JENNY MALLIN (if checks are made out to anyone or anything other than: SHAWN OR JENNY MALLIN, there will be a $50.00 charge and possible loss of reservation)! Mail to the following address. DO NOT MAIL TO ALAMO ST. Please include copy of your drives lic, your phone number and date of rental when mailing in payment.

CANCELLATION INFORMATION

A fee equal to 25% of the total rent will be charged in case of cancellation, transfer or change of reservation. If reservation is not cancelled prior to 47 days before check-in date, all rental and tax money sent will be forfeited.

WRITTEN NOTICE, SENT BY USPS, REQUIRED FOR CANCELLATION AND MUST BE POSTMARKED BEFORE THAT 47 DAY MARK OR IF YOU PREFER E-MAIL, IT MUST BE SENT THE DAY YOU CALL AND CANCEL.

A late fee may be required, at owners discretion, if deposit or balance is not paid on time.

Also, cancellation or early departure due to inclement weather(as well as some other “odd, natural occurrence” or “Act of God” happens that might interrupt your vacation plans) does not warrant refund of any money sent!

If a Mandatory Evacuation order is given due to a hurricane, refunds will only be given by your Travel Protection policy/agent. If there is a loss of power due to city or county issues we are in no way responsible.

IF YOU CHOOSE NOT TO PURCHASE TRAVEL PROTECTION INSURANCE/COVERAGE, THERE WILL BE NO REFUNDS. We recommend a web search to find best rated travel insurance.

DAMAGE DEPOSIT

A damage deposit of $500-$1000 is required. If no damages are incurred and HOME IS LEFT IN THE ORDER IT WAS FOUND & there have been no other violations of rental policy then damage deposit will be mailed back 7-10 days after check-out.

NOTE: If expenses are incurred to repair damages, replace missing items, pay for extra cleaning or any other violation of rental policy as a result of your stay, we reserve the right to apply any money sent to offset expenses. Renters must promptly disclose any known or suspected issues with the home.

Follow CHECK OUT procedures as listed (on refrigerator). Failure to follow check out procedures may result in deductions from damage deposit. If you have any questions or suggestions feel free to email or call me.

We do not expect you to deep clean the home during your stay, after all, its your vacation. We do however expect you to leave the home decent and in order as found upon arrival. Check out procedure lists what we expect.

Failure to follow check out procedure thereby resulting in cleaning above and beyond what our cleaners typically experience and expect will result in $45 per hour deduction cleaning charge from your damage deposit.

If any mattresses have been “wet”, loss of full damage deposit will result.

Leaving doors and windows open will result in our air conditioning unit to freeze. If this occurs please turn off unit to thaw, DO NOT SCRAPE THE COIL as damage can result. Place bins under coil to catch melting water. Please try to avoid this by keeping doors and windows shut.  If it is found out that you have frozen the unit you may be charged a damage fee for any damage caused.

If a breach of contract occurs(or if local authorities/police are called for any reason) and eviction is the result/necessary, the NIGHTLY rate will be applied,……or depending on the “issue”, entire amount of money paid may be forfeited.

ABSOLUTELY NO PETS ON THE PROPERTY OR IN HOME AT ANY TIME!! ALSO NO SMOKING IS PERMITTED IN HOME!! If pets are found in or on property, or smoking is realized, loss of full deposit will be the result. Eviction of tenants(due to having pets or if smoking is realized) will be at the discretion of the owner.

PRIVATE POOL IS TO BE USED BY REGISTERED GUESTS ONLY!

POOL HEAT

Prepayment is required for pool heating, avg cost is $250 per week depending on outdoor temperature and time of year. Pool heat is recommended from November – March

If lock box or pool heater is in any way tampered with a loss of full damage deposit may be required.

POOL RULES

For your safety NO DIVING OR HORSEPLAY   Turn the pool lights off before going to bed for the evening, leaving the lights on will attract bugs to the pool. If you are staying more than 4 days please check the skimmer basket and empty as necessary. It is advisable to rinse any oils off before entering pool , if pool water level gets below the water recycle intake please let us know so we can add more water running it below this line will result in pump running dry which in turn will cause you to be without a pool .

Pool and beach items

2 wagons for pulling items to the beach  , various size life vests to be found in the bunk room closet, multiple beach and folding chairs, volleyball net for pool, previous guests leave items we do not throw these away so you will find a variety of toys and buckets for your use. Please throw away any that you broken. Notify us of any missing items such as wagons , chairs or life vests.

Propane Grill

Newly purchased propane tank grill (August 2014)  We ask that guests please clean the grill after use. If our cleaning crew is required to clean the grill we will deduct an extra fee from your damage deposit.  If you need to purchase propane please take the empty tank to the Winn Dixie located less than a mile away (turn left when you get to scenic 98 at the end of Alamo) Leave the receipt on the counter with the keys when you check out and you will be reimbursed when I return your damage deposit. You must leave receipt for refund.

ITEMS PROVIDED

Sheets and towels are provided, however we ask that you bring your own BEACH towels. Bath soap(1 per tray), toilet paper( 2 rolls per bath) for week stays , 1 roll per bathroom for stays less than a week and trash liners(1 or more per basket) are provided UPON ARRIVAL ONLY.

Laundry and Kitchen Items

Previous guests may have left dish soap, laundry soap, etc. We recommend checking kitchen and laundry area prior to shopping. Misc items provided, ironing board, iron, washer and dryer. Also you may find in the laundry area flyswatters, flashlight, cleaning bucket, broom , mop

Kitchen Items provided Coffee pots (2) with basket type filter used (not provided but sometimes left by previous guests) toaster, blender, microwave, 2 waffle irons, teapot, electric can opener, pots , pans, serving ware, etc., teflon griddles . We do dispose of perishable foods or donate to charities if unopened, we leave non perishables such as salt pepper freezer pops, etc. check the cabinets before shopping .

BABY ITEMS

2 Baby gates, 1 high chair, 2 booster seats, 1 pack and go playpen, 1 baby monitor

ENTERTAINMENT ITEMS

Various dvds and vhs tapes throughout our home, the majority will be found in the living room and the bunk room.  Various puzzles, playing cards, uno, jenga, various toys in bunk room.

2 of our televisions (living room and 2nd floor master bedroom) are equipped with cox cable box, these allow access to more channels and free shows, we do not allow for movie rentals and we have blocked certain adult channels. All rooms have tvs , most rooms have dvd or vhs.

WIFI our home is equipped with password protected wi fi , password is found on refridgerator and in welcome book

Trash bins must be pulled to the curb on trash days and brought back no later than evening of same day. Current trash days are Tuesday and Thursday.

Owner is, by Florida law, allowed to enter home at any time if he/she suspects any actions that might breach this contract. Owner may also enter home to check A/C filters and for any other reason necessary to maintain, security and comfort of tenant.

If property is for sale, renter must cooperate with the owner or realtor to arrange convenient times to show said property.

WE ASK THAT ALL MEMBERS OF GROUP RENTING & STAYING IN THE HOME READ THIS RESERVATION INFORMATION SHEET SO ALL DO INDEED UNDERSTAND THE RULES OF THIS CONFIRMATION.

Call us when you get about 40 minutes away from Miramar Beach Fl.. We will guide you in and meet you at the rented property with the keys. Check in is 4:00 p.m central time or later. During peak season we cannot allow early check-ins or late check-outs.

A “courtesy call” or e-mail will be given 47 days prior to check-in to remind you to send balance and at that time it will be DUE WITHIN 7 days of phone call or E-mail. If balance due has not been paid within 7 days after renter has been notified by email or phone, then reservation will be considered cancelled, home will be re-rented and all prior rental and tax money paid will be forfeited. OR if owner chooses not to cancel the reservation then a late fee may be applied.

PAYMENT OF ANY AND ALL RENTAL MONEY AUTOMATICALLY CONSTITUTES ACCEPTANCE OF ALL TERMS AND CONDITIONS SET FORTH HEREIN AND RENTER ACKNOWLEDGES THAT ALL INFORMATION AND RULES IN THIS AGREEMENT HAVE BEEN READ, UNDERSTOOD AND AGREED TO…..OF YOUR OWN FREE WILL.
